Job Type: Fixed-Term Contract (General Service G-6)
Duty Station: Lilongwe
Contract Duration: 2 Years (Extendable)

The Food and Agriculture Organization of the United Nations is hiring an Office Associate to support administrative coordination, document management, communication flow, and office operations at its country office in Lilongwe.

Job Purpose:

The Office Associate ensures smooth office operations by managing correspondence, supporting senior management, organizing meetings, maintaining records, and coordinating administrative workflows. The role directly supports the FAO Representative and strengthens internal efficiency.

Key Responsibilities:

Office Administration

  • Manage and prioritize correspondence and confidential documents
  • Maintain calendar, meetings, and travel schedules
  • Organize high-level meetings, agendas, and minutes

Documentation & Communication

  • Draft official replies and review documents
  • Prepare briefing notes and reports
  • Provide informal translation support when needed

Coordination & Support

  • Supervise office support staff
  • Maintain tracking systems for documentation
  • Ensure compliance with FAO administrative procedures
  • Support internal systems (HR, finance, travel tools)

Operations

  • Liaise with internal and external stakeholders
  • Solve operational issues and support workflow efficiency
  • Ensure timely follow-up on administrative tasks

Qualifications:

Education

  • Secondary school education required
  • Bachelor’s degree in Business Administration / Management is desirable

Experience

  • Minimum 5 years in office administration or management support roles

Skills

  • Excellent MS Office skills (Word, Excel, PowerPoint)
  • Strong communication and documentation ability
  • Knowledge of administrative systems and procedures

Languages

  • Fluent English (required)
  • Intermediate knowledge of another UN language (advantage)

Residency Requirement:

Candidates must be nationals of Malawi or hold valid work authorization and reside within commuting distance of Lilongwe.
